As the Program Data Specialist, you will be the Program administrator of multiple platform systems concurrently. You will be responsible for entering and maintaining data integrity to ensure program compliance with Head Start Performance Standards and state and Federal regulations for all Maricopa County Birth to Five programs.

Job Contributions
-
Enter and maintain data for all service areas of the Head Start Program including in-kind, classroom attendance, meal counts, and any additional items that are assigned for the Head Start program

Platform administrator and implementor of multiple Head Start programs while ensuring they align with the organization’s objectives. This includes supervising all program phases throughout the school year term

Coordinate and maintain various supporting systems, including but not limited to new program year set up, new sites and classrooms, staff assignments, new employees, newly enrolled children, and archive of previous years

Collaborate with cross-functional teams and platform vendors throughout the program year to maintain the most current system updates and training materials
-
Maintain up-to-date information for specific related files dealing with recorded materials, handwritten notes/pages, and figures that are continued within the printed files. Deciphering handwriting, garbled recordings, or faded text while transforming the information into a digital data format

Monitor quality assurance of collected data, assisting with data entry and cleaning within multiple platforms

Independently identify appropriate courses of action to analyze issues and recommend solutions during the integration of all administered platforms

Ensure all necessary account imports and exports of data for multiple platforms are performed and validated in a timely manner

Ensure validation of the source data and target data are mapped correctly

Work with department staff to help troubleshoot system errors, reset passwords, and parent application issues

Maintain records of tasks, files and proofread reports

Q.A. completed work for errors or duplicate information before submitting the final product

Ensure that all data is accurate and up to date while reporting the necessary data. In addition to, ensuring that the documentation is tracked in a timely manner, and the records are kept in accordance with the division retention. Providing ad hoc reports and/or communication as instructed by the Program Analyst for Management, Policy Council Committees, and/or other various Head Start Committees

Maintain confidentiality with respect to information and records concerning children, families, and staff

Attend staff meetings and mandatory organizational training

Maintain filing system for correspondence, forms, reports, records, etc.

Answer phones and transfer calls as assigned and serve as the backup for the receptionist

Train program staff on data system basics and/or updates as needed
Working Conditions

Will be working in a large office environment where there can be high levels of noise and activity at times
-
Must be able to perform repetitive keyboarding and sit for most of the workday

Telework is available for this position and at the manager discretion

Qualifications
We Require
-
Three years of clerical or administrative experience (Windows, Microsoft Office applications, alphanumeric and 10-key, data systems, exporting/importing information, etc.)

High school diploma or GED
-
Must possess or have the ability to obtain a valid Arizona driver's license by the time of hire
-
Must possess or have the ability to obtain and maintain an Arizona Department of Public Safety Level 1 Fingerprint Clearance Card
-
Must complete a medical exam that includes screening for tuberculosis (TB)

One year in a dual English/Spanish language environment
