Part-time (25 hours/week)
Essential Functions Job Responsibilities:
CLERICAL – including but not limited to:
- Prepare worship bulletins, including weddings and funerals
- Prepare bulk mailings when necessary;
- Provide clerical assistance to Pastor, staff and lay leadership;
- Orders, stocks and monitors church/office supplies as needed;
- Assists in coordinating and supervising office volunteers;
- Assists members and visitors by phone or email as needed;
- Compiles annual congregational reports;
- Compiles documents needed for meetings, events, educational opportunities and leadership retreats;
- Data entry for capturing/storing attendance for worship, meetings, events w/sign-ins, etc.
- Cooperates with bookkeeper, band, and marketing staff members weekly, as needed;
ADMINISTRATIVE – included but not limited to:
- Assists in the coordination and supervision of office projects done with volunteers;
- Processes Safe Church background & fingerprint checks for staff and volunteers;
- Collects required new hire paperwork and maintains conforming personnel files for all staff and contractors;
- Conducts periodic file review and/or audits to comply with church's Personnel Policy and other Labor laws to which the church is required to comply;
- Maintains electronic file folders;
- Coordinates church calendar, including facility use by groups both inside and outside the church
- Handles inquiries and bookings, contracts, contract renewals and price setting for room use, weddings and other one-time or recurring events. Establishes a vetting and approval process for pastors or moderators to approve new users, based on alignment with church's values and/or mission;
- Assists church leadership and Pastor regarding vendors onsite (cleaning, custodial, HVAC, etc.);
- Coordinates the ordering of custodial/facilities supplies and keep inventory of stock;
- Work with annual contract renewals for insurance and church operational contracts;
- Coordinates quotes, repairs, renovations and additions to physical plant as needed;

Qualifications
Education:
- High school or equivalent (required)
- AA or BA preferred
Experience:
- Microsoft Office: 3 years (Preferred)
- Customer Service: 3 years (Preferred)
Administrative Duties:

- Sorting and sending mail
- Answering and routing phone calls
- Greeting visitors, vendors, and renters
