ABOUT DC RANCH:

DC Ranch is a 4,400-acre community located adjacent to the McDowell Sonoran Preserve in north Scottsdale, Arizona. The community is composed of 25 diverse neighborhoods within four distinct villages that interact with shared open spaces to create a sense of living with the land. The first home was completed in 1997, and there are currently 2,800 homes and approximately 7,000 residents on the Ranch.

DC Ranch is governed by three entities: DC Ranch Community Council, Ranch Association, and the Covenant Commission. All three entities work toward the same goal: to serve residents and create a community that is beautiful, functions well, and creates a deep sense of belonging.

OVERVIEW:

The primary function is to supervise and coordinate the daily operation of DC Ranch Community Council shared area amenities, including two community centers, fitness center and fitness studio. Assist Director with oversite of Market Street Park and the extensive path and trail system.  The Community Center Manager interacts extensively with other DC Ranch departments to coordinate event and facility operations.  In addition, the Community Center Manager supervises and evaluates the work of the customer service personnel and oversees the DC Ranch facility rental program.

POSITION RESPONSIBILITIES:

  • Assist in developing and implementing policies and procedures for the Community Centers and other facility usage that incorporate the highest standard of customer service to residents and guests
  • Responds to difficult or sensitive customer inquiries
  • Schedules staff work schedule and monitors/oversees vacation, sick time, and training schedule of customer service and rental staff
  • Monitor overall condition of facilities to ensure that physical attributes are consistent with DC Ranch’s high standards and guarantee an exceptional experience for stakeholders
  • Conduct monthly inspections of facilities for safety and maintenance issues and address in a proactive manner
  • Seek bids and provide contract oversight for facility repairs, reserve projects, and capital budget projects
  • Provide oversight of facility supplies; place orders or make purchases as needed
  • Manage a process for day-end revenue deposits and facility closings
  • Oversee the Resident Services Specialist to implement and oversee a facility rental plan for the Community Centers that ensures internal event and programming needs are met, while accommodating the needs and desires of residents; meet with residents interested in renting the Community Centers; provide facility tours, initiate, and finalize contract and payment; schedule and give pre-event walk through; review rental rules with residents; provide DC Ranch security with information as needed; manage and maintain an effective rental follow-up process to address after-event inspections and procedures; and manage relationships with partnership rentals and usage to assure guidelines are met and quality remains high
  • Maintain and manage the Community Centers calendars
  • Make periodic checks on facilities during rental engagements; handle weekend and evening calls as related to facility rental issues
  • Actively solicit feedback from facility users to ensure expectations are being met
  • Work in tandem with Custodial and Maintenance Senior Manager to coordinate the set-up and tear-down logistics of various off-site events, programs, and meetings
  • Serve as back-up for the front desk staff to answer phone, welcome all guests, and assist with inquiries when needed
  • Assist with set-up, clean-up and other logistics for Community Center activities, rentals and other events sponsored by the Community Council
  • Actively contribute ideas and creativity to constantly improve the programs, events, and activities of the DC Ranch Community Council
  • Work with other managers on various projects including leadership development and presentations
  • Support the Community Center and Amenities Director with various/special projects including building access, capital projects, and developing and monitoring facility budgets
  • Other duties as assigned

Qualifications

KNOWLEDGE & ABILITIES NEEDED:

  • Supervisory techniques and practices
  • Facility management and facility reservation processes
  • Recreation management software (i.e., ActiveNet, CivicRec)
  • Project management
  • Customer service including resolution practices and creating magic moments for residents
  • General office procedures/operations
  • Basic computer skills in Microsoft Office environment
  • Facility staffing and scheduling
  • Exercise sound judgment and consistently make smart decisions
  • Convey information and ideas clearly
  • Manage multiple priorities and meet deadlines
  • Willingness to work at multiple work sites during a workday, if required
  • Solve problems, think creatively, and seek help when necessary
  • Maintain confidentiality of sensitive information
  • Willingness to work irregular hours, evening hours and weekends, if required
  • This job requires the ability to:
    • bending, twisting, crouching, or kneeling during maintenance activities
    • moving furniture, equipment and heavy objects weighing up to 74 lbs.
    • pushing or pulling objects weighing up to 100 lbs.
    • climbing stairs/ladders, working at heights
    • working in temperatures above 100˚

POSITION REQUIREMENTS:

  • 4-year college degree required; Facility or Recreation Management degree preferred
  • Direct experience working in a public or private facility like a community center
  • 2 to 4 years’ experience in progressively responsible position
