Summary/Objective

This position is a vital connector between organizational staff and the Board of Directors, helping to maintain meaningful and positive experiences for our Board, effective communications with our Board, and to optimize the Board of Directors and their roles as leaders and representatives of Valley of the Sun United Way. This position will provide executive administrative services and assistance, which may require significant latitude of independent judgment and discretion.

Essential Functions:

  • Supports the United Way CEO and Executive Team to manage relationships with Board members and seek opportunities to engage them.
  • Supports all planning, correspondence, preparation, and management of monthly Board of Directors and all Board committee meetings. This includes preparation of meeting pre-reads, Board recommendation memorandum, PowerPoint presentations, and taking and drafting meeting minutes. Attends all Board of Directors and Board committee meetings.
  • Serves as an administrative liaison for communications with the Board of Directors and interacts with Board members as directed.
  • Ensures all agendas, minutes, and presentations for Board of Directors and all Board committee meetings are adequately prepared in a timely and effective manner.
  • Maintains accurate files of all correspondence and administrative documents, meeting and committee minutes for the Board of Directors and its committees.
  • Maintains biographies on Board members and ensures all United Way communications included updated Board member rosters and information.
  • Conducts special projects as assigned.
  • Will be required to work outside of normal working hours to coincide with pre and post work for board meetings.
  • Monitors news on Board members, shares with pertinent staff, and updates information in VSUW’s records.

Qualifications

 

Required Education & Experience

  • Bachelor's degree required  

Experience:

  • Four to five years administrative support experience at a progressively responsible level required, including management of projects and supporting a CEO or equivalent.
  • Experience interacting with and communicating to C-suite leaders.

Skills:

  • Strong interpersonal skills with ability to communicate effectively both orally and in writing. 
  • Ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.
  • Strong organizational skills and expert level experience of MS Office, including Word, Excel, PowerPoint and Outlook.
  • Ability to manage communications through a secure Board portal.

Additional Requirements and Responsibilities:

  • Demonstrated ability to remain calm in crisis situations, work independently and cooperatively, recognize personal limitations, and relate positively and with empathy to all persons regardless of age, race, creed, gender or sexual orientation. 
  • Maintain professional conduct consistent with ethical professional practice and the policies and procedures of the agency.
  • Maintain a professional demeanor and positive working relationships with internal and external team members, stakeholders, and community and business partners.
  • If driving a Valley of the Sun United Way vehicle, a valid Arizona driver license and appropriate liability insurance and approval for liability coverage.
  • Attend meetings, training, and events outside of regularly scheduled work hours upon request.
  • Maintain compliance with required training.
  • Additional duties as assigned by supervisor or member of management.
