Overview:
The candidate will report to the Associate Director of Philanthropy and is responsible for supporting both the department’s day-to-day operations and the organization’s annual fundraising goals. The key indicators of success in the position focus on accuracy, attention to detail, and timely follow-through.
Summary:
The successful Philanthropy Assistant:
- Supports and performs the day-to-day operations of the philanthropy department ensuring the policies and procedures of the department are implemented, including but not limited to gift entry, acknowledgement processing, benefits fulfillment, and database maintenance.
- Works collaboratively across all of Ballet Arizona’s departments and specifically as part of the philanthropy team, which includes: Director of Philanthropy, Associate Director of Philanthropy, Corporate & Foundation Manager, Philanthropy Events & Volunteer Manager, Annual Fund Coordinator, Philanthropy Assistant, and one part-time grant-writing contractor.
- Expresses passion for and commitment to Ballet Arizona’s mission and possesses the ability to communicate its objectives to current and potential donors, patrons, and volunteers.
Primary Responsibilities:
- Database & Database Maintenance
- Maintain Tessitura database with a primary focus upon ensuring donor records, both individual and institutional, are correct and current via contact information, contribution and membership history, biographical, demographic, and statistical information.
- Execute daily entry of all department gifts
- Accurately enter donor activities from all philanthropy events in the database.
- Generate lists/reports from database as requested.
- In coordination with the Associate Director and Director of Philanthropy, conduct prospect research and screening assessments for donors and patrons.
- Gift Acknowledgments & Filing
- Accurately generate, scan, and mail all department tax acknowledgments within 48 business hours of gift receipt.
- Prepare weekly audit of digital files for all gifts and acknowledgments to be completed in conjunction with the Associate Director of Philanthropy.
- Maintain the digital records and filing system for all individual, institutional, and legacy donors following the policies and procedures for each segment.
- Office Administration & Finance
- Oversees inventory of all department collateral/ supplies
- Prepares and ensures transportation of department collateral/supplies to all performances and philanthropy events.
- Create new donor welcome packets.
- Support Associate Director of Philanthropy in benefits fulfillment for individual donors.
- Track philanthropy department revenue and expenses.
Other Duties:
- Provide support for all philanthropy department events.
- Provide support at Ballet Arizona and School of Ballet Arizona performances.
- Perform other duties as required or assigned by the Associate Director of Philanthropy.
Essential Skills & Experience:
- Bachelor’s degree from an accredited university/college preferred or equivalent experience.
- Demonstrated knowledge of fundraising database strongly preferred.
- Strong time management and analytical skills.
- Ability to work flexible hours, nights, and weekends as needed.
- Familiarity with standard Microsoft Office applications.
