Position description
Project, operational and financial management for all aspects of the Fall and Spring butterfly exhibits. Researches and assists in planning new exhibits, especially in relation to children and conservation. Oversee staff and volunteers in butterfly pavilion and other special exhibits. Responsible for all aspects related to USDA APHIS regulations and working with live animal stock.
Essential Duties
- Maintain budget for assigned exhibits, including Fall and Spring Butterfly exhibits, annual forecasting; track and report budget to actual expenses.
- Responsible for management of butterfly exhibit staff, including hiring, training, scheduling, performance and bi-weekly timecard approval.
- Collaborate with Senior Director of Exhibits to develop seasonal training program for staff and volunteers to highlight visitor experience objectives and interpretive content; lead training sessions for these audiences and coordinate internal support as needed.
- Monitor performance of volunteers working in pavilion; assign or reassign duties as necessary; reporting feedback to Director of Volunteer Services.
- Ensure compliance with USDA APHIS regulations for plant and animal security, including proper disposal of all materials and maintenance of facility; write annual report to USDA about live animal viability and parasitic issues, if any. Maintain renewal of permits and meet with USDA representative seasonally.
- Maintain health and well-being of live animal stock; ensure the availability of sufficient food sources (host plants, nectar plants and supplemental nourishment.
- Develop live animal inventory plan to secure compelling exhibit display and manage ordering stock, adult butterflies, chrysalis and eggs from a diverse range of vendors while ensuring compliance with USDA permit.
- Regularly communicate with assigned Horticulture staff regarding nectar and host plan needs and any maintenance items related to plant displays.
- Track attendance to the seasonal butterfly exhibits and prepare regular reports, include comprehensive end-of-season report capturing daily admission, visitor trends and feedback to use in regular forecasting and planning.
- Provide regular exhibit updates to staff and volunteers throughout the season; facilitate recognition of volunteers throughout and at the culmination of each season.
- Support maintenance of aesthetic standards in the butterfly exhibit; participate in interpretation, program development, evaluation and exhibit outreach.
- Facilitate special attendance sessions to the butterfly exhibit; act as media representative for the butterfly exhibit as needed.
- In collaboration with the Exhibits Department team, fully participate in the research and development of butterfly and insect display components; make recommendations to improve existing exhibit components and programming.
- Represent the Exhibits department in interdepartmental teams as needed.
- Prepare and monitor completion of interdepartmental work orders to ensure maintained safety maintenance and repairs.
- Participate in exhibit planning focused on providing exceptional experiences to visitors and attracting target audiences outlined in the strategic plan.
- Collaborate with Exhibits Design Specialist to maintain exhibit materials and off-site storage inventory.
- Create temporary signage under the supervision of the Exhibits Design Specialist in collaboration with marketing staff.
- Maintain supply inventory for the Exhibit department and butterfly exhibit, including general office supplies, exhibit materials and regular deliveries.
- Other duties as assigned.
Pay range: $59,000.00 - $72,000.00
Qualifications
- Bachelor’s degree or minimum four years’ related experience
- Previous supervisory or management experience
- Excellent interpersonal, customer service, decision-making and troubleshooting skills
- Abilty to foster teamwork
- Ability to effectively work with volunteers
- Ability to work outdoors in all weather conditions and stand for long periods
- Background check and fingerprint clearance required
- Must be able to work weekdays, weekends, holidays and special events as required
- Must be able to manage strict timelines and challenging situations
- Must be able to prioritize and execute multiple projects simultaneously
- Strong computer skills in Microsoft Office and Adobe Suite
- Excellent organizational and time management skills
- Ability to effectively respond to multiple, changing and often conflicting priorities

- Ability to work off-hours with occasional evenings, weekends and/or holidays
Equipment Used
Typical office equipment and materials used to care for live animals in the butterfly pavilion to keep the space safe and clean for visitors.
Internal Communication
Frequent communication with visitors, Exhibits department staff, volunteers and facilities team.
External Communication
Regular contact with vendors.
Working Conditions
Most time will be spent in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets. Twice per year, this role will spend more than half of the workday in the butterfly pavilion, an outdoor structure. Must be able to remain in a stationary position 50% of the time. Manual dexterity and the ability to lift up to 10 pounds required. Occasional work in outdoor weather conditions including extreme heat.
