- Serves as key point of contact for agency donor-related events, from inception to execution.
- Manages event related activities including:
- Procurement of silent and live auction items
- Including leadership of volunteer committee
- Manages follow up calls to patrons regarding auction pick-up, billing questions, etc.
- Works with Database team to produce print mailing list and/or labels for event invitation projects
- Responsible for event logistics including, but limited to;
- Staffing plan
- Event Set-Up
- Event Tear-Down
- Run of show, seating charts, etc.
- Oversees AV and other vendor services for events
- Procurement of silent and live auction items
- Provides support for event related collateral materials including web and e-blast platforms by working with Director and marketing team on look, style and theme to ensure cohesiveness of branding strategy.
- Works with event and silent auction software and credit card systems for event registration and processing.
- Develops and maintains third party vendor event databases.
- Acts as a liaison with vendors and event committee in order to conceptualize and execute events.
- Compiles information for Director and VP to present to External Affairs Committee in order to communicate events status and outcomes
- Assists Director and marketing team on public relations outreach initiatives.
- Creates recognition and thank you items for event sponsors and guests
- This role may require hours outside of a traditional 9-5 setting, including nights and weekends
Qualifications
- High School Diploma required. Bachelor’s degree in Communication, Journalism, Non Profit Leadership or related preferred.
- Minimum of 3 years special events experience in a non-profit setting.
- Proficiency in the following computer programs: Microsoft office suite, Adobe Products, and project management software, i.e. Basecamp or Monday.
- Must be able to display verbal and written communication skills that meet the requirements of the position and needs of vendors and community liaisons.
