Events Student Assistant

 

The events student assistant is a member of the ASU Foundation Events Team and will assist in the coordination and execution of special events that advance the work of our development colleagues, and support donor engagement and philanthropic giving. The events student assistant will be responsible for assisting with the planning and implementation of high-quality special events relating to donors, prospects, and other ASU Foundation constituents. 

This position will require approximately 20 hours per week, with additional availability during the non-school year. 

 

What you'll do:

  • Work with the following groups/activities (including, but is not limited to): President’s Club, Women and Philanthropy, Board of Directors, Changing Futures Campaign, and ASU President’s football suite and tailgate
  • Coordinate event set-up, catering, audio visuals, registration, name badge printing, volunteer recruitment, scheduling of event venues, parking, musician booking, and other event-related logistics 
  • Administer events and activities for donors within the ASU Foundation to advance cultivation and stewardship  
  • Update clients and vendors on confirmed event logistics throughout the event planning process
  • Interface with ASU Foundation and ASU Enterprise Partners staff, student workers, event vendors and university partners to support ASU Foundation events
  • Track event registrations through Eventbrite and Salesforce to ensure accurate pre- and post-event data
  • Interact regularly with high level donors and prospects at onsite events
  • Support Director of Events, Assistant Director of Events, Events Manager and Events Coordinator with assigned project related tasks

Qualifications

What you'll need:

  • Collaborative style, combined with the ability and desire to work in a team-based environment
  • Strong and collegial interpersonal skills and an ability to communicate effectively in person, in writing, and by phone
  • Ability to work both independently and as part of a team
  • Ability to maintain a high degree of confidentiality and responsibility regarding information related to Foundation and University business and confidential prospect information
  • Attention to detail and thoroughness in completing assigned duties
  • Highly organized and able to handle multiple projects
  • Knowledge of Microsoft Excel, PowerPoint and Word
  • Ability to quickly learn new software programs as needed including Eventbrite and Social Tables
  • Must be able to work flexible hours, including nights, weekends and all ASU football home games
  • Ability to represent the institution well

 

Relevant qualifications:

  • A current student at Arizona State University pursuing a degree in a related field with a willingness to learn and ability to work well with others. Student must be willing to sign and abide by a confidentiality agreement. Previous event experience and interest in working in events is preferred.
