Purpose of Position:

The role of the wish coordinator is to support the wish department and overall wish experience within the policies and procedures established by the National Office and the local Make-A-Wish Foundation® chapter.  Position may be required to perform other job-related tasks in addition to those specifically presented in this description.

Essential Duties/Responsibilities:

  • Provides excellent customer service and communication to wish children, wish families, volunteers, affiliates, medical professionals, vendors, donors, and co-workers.
  • Supports wish staff with all specific aspects involved with each wish, including but not limited to:  project planning, vendor management, collecting wish forms, and booking transportation, accommodations, services, and medical equipment.
  • Assists the wish granting team in research of wish planning options connected to child’s wish vision.  Always looking for a solution that enables a child to receive their one true wish within the Make-A-Wish standards and guidelines.
  • Identifies, obtains, and maintains new and existing donors as wish resources on a continual basis and as needed.
  • Inputs, updates, and maintains wish information in Salesforce database as planning/progression of wish occurs. 
  • Maintains overall wish data integrity for Wish & Volunteer Center.  Develops internal processes related to database, and oversees change management connected to new processes.
  • Assists wish manager in goal of obtaining 36% in-kind ratio and monitors cash and in-kind costs.  Ensures check reimbursements and in-kinds are submitted by volunteers and vendors.  Guarantees accuracy with proper documentation and financial coding as it relates to wish budgets.
  • Processes and confirms expense data in WVC database is accurate and up-to-date.
  • Ensures all wish follow up work is completed; includes thank you’s, anecdotal reports, wish receipt, in-kinds, wish file close out, etc.
  • Ensures wishes are closed expeditiously within database system and moved to completion, with uniformity, using the highest standards of excellence while adhering to budget and policies.
  • Briefs Sr. Director of Wish Delivery on progress of goals and updated program activities. 
  • Keep abreast of National policies, guidelines and resources as they relate to the wish-granting program. 

Other Duties/Responsibilities:

  • Provides positive and professional representation on behalf of the Foundation at events/promotions as needed
  • Performs other duties as required

  • Ability to work collaboratively to ensure strong departmental and Chapter structure

  • Ability to maintain confidential information and communicate with sensitivity in challenging circumstances
  • Demonstrates initiative along with strong time management skills, and is an effective problem solver
  • Ability to read and review small print
  • Ability to sit and type for long periods of time
  • Able to be exposed to inclement and outdoor weather
  • Self-motivated with ability to work with minimal supervision in a fast-paced environment.
  • Ability to travel to fulfill departmental and organizational duties as needed
  • Must have valid driver’s license and reliable transportation
  • *Bilingual Preferred (Spanish-English)*

Training/Education:

    • Bachelor’s degree or relevant work experience
    • Project Management Certified preferred
    • Familiarity Microsoft Office Suite and database management software, preferably Salesforce

Experience:

  • 2+ yrs. of non-profit experience, data entry, youth development administration, social services experience, or comparable.
  • 1-2 years of experience in a data entry environment, preferably nonprofit experience.
  • Professional customer service experience/excellent phone presentation skills
