General Description 

The Program Support Specialist supports the mission and values of Hope Ignites Phoenix by assisting with the operational and programmatic needs of the Scholar Success Program during the school year and summer programming. This role provides program support, direct services to scholars, assistance with academic success initiatives, community engagement activities, and administrative and data entry tasks that ensure efficient and compliant program operations. 

Working in collaboration with Program Managers, staff, and volunteers, the Program Support Specialist directly assists scholars by participating in youth transportation, monitoring academic progress, completing accurate and timely data entry, and co-facilitating programming activities with High School and Middle School scholars as needed. 

Major Responsibilities 

Academic Monitoring & Support Coordination 

*Assist Program Managers in monitoring scholar academic progress and identifying academic needs 

*Communicate with tutors regarding specific scholar academic needs, including providing written direction based on weekly assignments or teacher feedback

*Help supervise scholars during tutoring sessions and learning center time as needed

*Assist in developing and monitoring academic improvement plans and academic goals for individual scholar service plans in coordination with the Program Manager 

Direct Services to Scholars 

*Identify, track, and promote age-appropriate essential experiences such as community service activities to supplement school-based learning 

*Plan, coordinate, and participate in community service opportunities for individual scholars and groups 

*Maintain positive relationships with neighbors, community groups, schools, authorities, peers, and scholars’ families while modeling appropriate behavior for scholars 

*Assist in the development and co-facilitation of academic and enrichment programming, including study groups, college readiness workshops, and Hope Ignites curriculum (e.g., life skills training and character development) 

*Transport scholars using organization vehicles, including a 15-passenger van 

Administrative & Data Entry Support 

*Collect, enter, and maintain accurate scholar data, attendance records, academic updates, service plans, and program participation information in designated databases and tracking systems 

*Ensure all required documentation related to scholar progress, program activities, and outcomes is completed accurately and in a timely manner 

*Support data integrity by reviewing records for accuracy, completeness, and compliance with organizational standards 

*Assist Program Managers with administrative reporting, data preparation, and record organization as needed 

Program Support Activities 

*Support the development of scholars in accordance with individual service plans 

*Escort and transport scholars to and from program activities when needed 

*Perform a variety of support functions to ensure the overall success of the Scholar Success Program 

Other Duties 

*Attend regular staff meetings and required professional development sessions 

*Flexibility and a willingness to assist with other duties as assigned are essential. 

Qualifications

Qualifications, Experience & Skills Required 

*High school diploma or equivalent required; some college coursework preferred 

*Minimum of one year of experience working with youth in an educational or community-based setting 

*Bilingual in Spanish and English a plus

*Strong organizational, time management, and data entry skills 

*Ability to work collaboratively with staff, parents, volunteers, and community partners 

*Excellent verbal and written communication skills 

*Ability to maintain confidentiality and handle sensitive information with discretion 

*Comfortable driving and navigating a 15-passenger van 

*Proficiency with computers and software, including Microsoft Word and Excel; experience with databases or student information systems preferred 

*Professional appearance, attitude, and representation of Hope Ignites Phoenix at all times 

*Valid Arizona driver’s license, clean driving record, and ability to lift/transport up to 40 pounds 

*Successful completion of all required state and federal background checks

Working Conditions 

*Position works primarily indoors with occasional outdoor activities 

*Schedule primarily includes weekday after-school hours, with occasional evenings and weekends based on program needs 

*This position follows a non-traditional work schedule determined by program requirements
