Founded in 2009 by retired U.S. Supreme Court Justice Sandra Day O’Connor, the Sandra Day O’Connor Institute is a nonpartisan nonprofit dedicated to advancing civics education, civil discourse, and civic engagement. With locations in Phoenix and Washington, D.C., the Institute is expanding its national reach and impact through innovative programs, research, and partnerships.

Position Summary

The Database Coordinator is the Institute’s central systems and records coordinator. Based in Phoenix, this position collaborates closely with program staff, development staff, and our Phoenix logistics team to ensure grant administration, donor information, applications and rosters are clean, current, and reliable. If you are detail-oriented, resourceful, and enjoy being the person who makes systems run smoothly, this role offers meaningful exposure to nonprofit work inside a dedicated and dynamic organization.

Core Responsibilities

1. Data & Gift Records

  1. Maintain accurate donor and constituent records in Raiser’s Edge NXT
  2. Create and run basic queries, lists, and exports to support mailings, events, stewardship, and reporting
  3. Assist with gift acknowledgement logistics: pulling lists, tracking acknowledgements, and preparing standard letters
  4. Support basic reconciliation and data consistency with the Finance team

2. Youth Program Reporting

  1. Manage online application intake for youth programs, ensuring submissions are logged, tracked, and routed appropriately
  2. Maintain rosters and participation records (accepted students, geographic info, attendance, alumni status)
  3. Produce simple program metrics and spreadsheets for leadership and funder needs
  4. Support correspondence with families and participants via email in a clear and professional manner

3. Development & Grants Support

  1. Track key grant submission and reporting deadlines to ensure required information is prepared and accessible for senior staff
  2. Provide support to Development team
  3. Donor and foundation research as directed
  4. Assist in assembling materials for donor meetings


4. Operations & Administrative Support

  1. Assist with online community app permissions for program participants
  2. Maintain organized shared digital files for program and development documentation
  3. Assist with scheduling, material prep and administrative tasks supporting program and development workflows
  4. Coordinate with the Phoenix logistics team when events require physical support (supplies, check-in lists, name badges, shipments, etc.)


What Success Looks Like

- Clean, accurate, dependable data in RENXT and youth programs rosters, attendance and alumni records

- Reliable administrative follow-through that frees senior staff to focus on strategy and programming

- Positive, collaborative relationships with development, programs, digital, and logistics staff

Qualifications

Qualifications

- Bachelor’s degree or equivalent experience
- 2–3 years of data-heavy or administrative experience
- Experience with Raiser’s Edge NXT (1 year (Required)
- Strong skills with Microsoft Excel and overall digital organization
- Exceptional attention to detail and accuracy, consistency, and follow-through
- Clear written and verbal communication, especially via email
- Ability to handle multiple tasks in a fast-moving, collaborative environment
- Interest in civics, education, or nonprofit work and alignment with the Institute’s nonpartisan mission


Compensation & Benefits

Salary: $50,000–$55,000 depending on experience
