Job Title: DEVELOPMENT COORDINATOR 

Department: Development and Marketing

Reports To: Director, Development and Marketing

FLSA Status: Non-exempt   

This is a full-time position that requires working a flexible schedule which can include nights, weekends, and holidays. Salary will be discussed during the screening process. 

POSITION SUMMARY Southwest Wildlife Center’s Development Coordinator is a key support position within the Development and Marketing Department, responsible for the integrity of all donor data entry and its use in support of broad-based donor acquisition, conversion and retention strategies. In addition to data entry, maintenance, and reporting, the Development Coordinator oversees the monthly giving program and conducts web-based research on donor prospects. As needed, the coordinator assists with donor events and supports the department’s general administrative needs. 

DUTIES AND RESPONSIBILITIES: 

• Donor data entry, maintenance, and reporting. The coordinator will record all deposits into Donor Management system (Bloomerang) and reconcile with the Finance team. 

• Lead donor segmentation and data retrieval for special appeals and events, including determining mailing lists and ensuring strict adherence to established appeal timelines. 

• Administer timely gift entry, reconciliation and acknowledgment of donations. 

• Answer and respond to all development phone inquiries, one-on-one and group tours and other engagements with donors and prospects. 

• Manage online, tribute, memorial and monthly donor retention programs. 

• Work with and manage volunteers assigned to the development office to efficiently accomplish department goals. 

• Participate in creating and executing fundraising and stewardship events with the help of volunteers and team members. 

• In coordination with the development team, support use of donor database for donor engagement and managed relationships. 

• Utilize available data and research tools to segment prospects and support continued growth in campaign, annual giving, legacy gifts, in-kind gifts, and corporate/foundation gifts. 

• Support donor retention by tracking lapsed donors and designing outreach strategies to re engage. 

• Coordinate event logistics for fundraising and donor engagement events, including management of ticket sales, guest lists, seating arrangements, and related administrative support. 

• Administer the corporate partnership program, including relationship tracking, fulfillment, and proactive follow-up to support partner retention and renewal. 

• Develop and maintain written guidelines for data operations workflow, processes and procedures.   

• Support the Director, Development & Marketing and department as needed, including but not limited to daily pick up/drop off mail at Post Office.

Qualifications

QUALIFICATIONS: 

• Highly organized a must. 

• Record of database administration and/or donor services preferred. 

• Direct experience in fundraising through standard appeals: direct mail and online giving. 

• Experience working successfully and directly with donors/customers, ideally in strategies involving cultivation and solicitation. 

• Excellent written and oral presentation skills. 

• Experience supervising other staff and/or volunteers. 

• Must be willing and able to work evenings, weekends, holidays and extended days as needed. 

• Valid Drivers’ License. Must have and maintain a clean driving record. 

• Must be able to pass a background check. 

• Bachelor's degree preferred, but not necessary. 

MINIMUM EXPERIENCE 

• One year professional experience in nonprofit service or administrative role. 

KNOWLEDGE / SKILLS / ABILITIES: 

• Language – Able to speak, read and write English. . 

• Mathematical – Intermediate mathematical skills. 

• Technical – Proficiency in Microsoft Excel, Office, PowerPoint and Outlook required. 

• Experience with other software, i.e., Bloomerang, Canva, Xola, a bonus. 

WORK ENVIRONMENT: 

• While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands to finger, handle, or feel objects, reach with hands and arms, or climb stairs. 

• The employee may occasionally lift and/or move up to 20 pounds. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

• Most time will be spent in a typical air-conditioned and heated office environment. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. 

• The office is located on Sanctuary property in North Scottsdale. Travel to and from daily on dirt roads will be necessary.
