COMPANY DESCRIPTION

We are building a new nonprofit institute focused on regenerative agriculture, land stewardship, hospitality, and education on a historic 300-acre campus in Central Arizona. We are seeking an exceptional Executive Assistant to join the founding team and work directly alongside the Executive Director and COO during a pivotal stage of growth.

This is a rare opportunity to help build an organization from the ground up while living and working on a remarkable (Frank Lloyd Wright-inspired) historic campus surrounded by stunning ranch land, gardens, and open space.

Why This Role Is Different

  • Housing provided on campus
  • Work directly with executive leadership
  • Join the founding team of a growing institute
  • Opportunity to help shape systems, culture, and operations
  • Diverse work spanning nonprofit management, events, hospitality, partnerships, and special projects
  • Beautiful rural Arizona setting with easy access to Sedona, Phoenix, Prescott, and Flagstaff
  • Significant growth potential as the organization expands

The campus includes more than a hundred existing buildings (homes, dorms, dining hall, library, classrooms, etc.) and infrastructure that once supported a long-standing college preparatory boarding school. We're reimagining and bringing this (Hogwarts, but make it Western 1930s vibe) campus back to life through a new vision and operating model.

While we are in an early stage of development, building systems and programs from the ground up, we are doing so within the context of a nearly 100-year legacy of land stewardship on this property. This dual reality, a new enterprise emerging within an established physical campus and a deeply rooted history, shapes how we approach both our work and our community.

Our model integrates hands-on learning, hospitality, and land stewardship.

We are a small, dedicated team building something meaningful within an already remarkable physical setting, and we are looking for people who want to contribute to that process.

The Role
We are seeking a highly capable, mission-aligned Executive Assistant & Special Projects Coordinator to support the Executive Director and COO during a pivotal stage of growth.

This is not a traditional administrative role. It is an opportunity to operate at the center of a living, evolving nonprofit — supporting leadership while helping shape systems, communications, and day-to-day flow across a complex campus environment.

The ideal candidate brings prior nonprofit experience and understands how to navigate mission-driven organizations, including working with boards, donors, and early-stage organizational structures.

Responsibilities:
Executive & Board Support

  • Manage calendars, scheduling, and travel for Executive Director and COO
  • Coordinate board meetings, prepare materials, and track follow-ups
  • Draft correspondence and communications with board members, donors, and partners

Operations & Organizational Support

  • Act as a central point of coordination across departments
  • Help organize workflows, documents, and systems as they are being built
  • Support onboarding and communication with partners, guests, and collaborators
  • Assist with event and program logistics
    Nonprofit Administration
  • Support development efforts (donor tracking, materials, light research)
  • Help maintain organized records and documentation for compliance and reporting
  • Assist in implementing systems that support a growing nonprofit organization

Project & Communication Support

  • Track key initiatives across operations, programming, and capital projects
  • Draft and manage internal and external communications
Build and maintain simple systems (spreadsheets, trackers, SOPs)
  • Anticipate needs and proactively solve problems

Qualifications

  • Experience working in a nonprofit organization (strongly preferred)
  • Highly organized with exceptional attention to detail
  • Excellent written and verbal communication skills
  • Comfortable in a fast-moving, early-stage environment
  • Ability to manage multiple priorities and follow through
  • Emotionally intelligent, grounded, and discreet
  • Strong sense of ownership and initiative

Preferred but not required:

  • Experience supporting executives or founders
  • Familiarity with donor relations, board coordination, or fundraising
  • Interest in regenerative agriculture, land stewardship, design, hospitality, or education
  • Experience in residential/community-based environments

Living & Working Here
This is a residential, on-site role. Housing, utilities, WiFi, campus amenities, and good neighbors are included.

Live and work on a breathtaking high-desert campus surrounded by ranchland, gardens, and open space. Join a close-knit, entrepreneurial team and help bring new life to a historic campus being reimagined as a place of learning, stewardship, hospitality, and meaningful human connection. This is a rare opportunity to contribute to something larger than yourself while helping build an organization from the ground up.
