Position Description

Administrative Assistant II - Bilingual

 

Southwest Human Development is seeking an Administrative Assistant II - Bilingual to join our Children's Developmental Center (CDC). This role will be responsible for diverse administrative duties while working together with the other Administrative Assistants to accomplish administrative duties within the department.  

The CDC specializes in children ages birth to five with complex developmental needs, feeding and eating problems, additional needs stemming from being a fragile infant, autism spectrum disorders, and developmental delays due to trauma.

 

Primary Duties:

  • Provide administrative support to our ADAPT Shop, Feeding, Floortime, and ongoing therapy programs
  • Provide resources and process referrals for families and team members
  • Schedule and maintain the clinic's evaluation calendar
  • Maintain and update department's data within a variety of data systems and billing spreadsheets
  • Check health plan eligibility status
  • Complete pre-authorization and prescription requests
  • Request medical records, obtain release of information and adhere to HIPAA regulations safeguarding Protected Health Information
  • Route requests of information, therapy reports, service plans and insurance information to appropriate recipients
  • Spanish translation and interpretation of  documents
  • Conduct caregiver surveys
  • Provide statistical data
  • Process phone, email and fax messages
  • Order office and evaluation supplies and maintain inventory
  • Collaborate with administrative and management teams on special projects

 

Compensation: DOE

Position Qualifications

Qualifications:

  • High school diploma or GED
  • Minimum of three years administrative experience is required
  • Bilingual in English/Spanish (both spoken and written fluency) is required
  • Advanced in Microsoft Windows Office applications is required.
  • Effective interpersonal and written communication skills is required.
  • Proficient digital document management is preferred.
  • Prior experience with work tasks that support families and children is preferred
  • Valid Arizona Fingerprint Clearance Card OR must qualify for a valid Arizona Level One Fingerprint Clearance Card is required
